For Jira users, Sastrify is equipped with an integration that connects the two apps, whose function is to allow tool owners to create and manage procurement support request directly from their Jira environment without needing to log into Sastrify.

Key features and benefits:

  • Simplified involvement of Sastrify during request creation in Jira: tool owners can create procurement requests directed toward Sastrify IT Buyers in Jira as they normally would via the Procurement Support page in their Sastrify platform.

  • Real-time status tracking: Track request status directly in Jira with Sastrify's workflow statuses such as 'Open', 'In Progress', 'Pending', and 'Closed' so you always know where things stand.

  • Bi-directional communication: Comments added to the ticket in either Jira or Sastrify are instantly synchronized, ensuring that all information is up-to-date and accessible on both platforms.

  2. Enter the use case by specifying the type of request and involvement you require, e.g. renewal negotiation or price benchmark request, and whether it is for a new purchase or an existing tool. A good example will look like this: New Purchase - Negotiation Support or Existing Tool - Price Benchmark.
  3. Enter the name of the tool and the details of the request.
  4. Details can include information, such as the background context or information related to the request, budget constraints, licence requirements, product and level you are looking to buy, and so on. The more complete, the better!
  5. Include attachments, such as relevant contracts or recent quotations.
  6. Finally, click 'Submit' to send your request.
  7. Once complete, an issue representing a new support request will be created and listed in your Jira board. Subsequently, the same request will also be listed on the Procurement Support page within your Sastrify platform.

To ensure the best service and provide our IT buyer with a complete picture for necessary preliminary work, we ask that you please always:

  1. Upload all relevant documents (e.g., current contract, quotes, proposals, as well as invoices or other useful documents for the process).
  2. Provide complete, clear information by filling out all input fields and specifying them as accurately as possible.

With a complete and clear set of information, our team can start immediately, eliminating the need for back-and-forth requests for additional information, which can negatively impact resolution time.

Each procurement support request also includes status, notifying you the latest development of each one.

  • When the request is initially created, its status is automatically set to Open
  • As the request is being processed and worked on, the status changes to In Progress
  • If a specific action is required from the customer, the status is changed to Pending.
  • Once the request is resolved, the request will remain in the tracking table with a Closed status, providing a comprehensive history of your requests for easy tracking.
